About this Privacy Notice

This document refers to personal information Surrey Reflexology holds and why, and what your rights are. This is in accordance with the General Data Protection Regulation (GDPR). It is important that you read the Privacy Notice in full. If you do not agree to Surrey Reflexology keeping personal information about you, you may not be able to have any treatments or receive any services.

Your personal data

Surrey Reflexology will ask for and retain relevant information about your health and wellbeing to give professional reflexology treatments and services. Surrey Reflexology will only use this information for giving reflexology treatments and keeping treatment records; providing products and other professional services related to reflexology and your health and wellbeing; and offering any advice concerning aspects of your health and wellbeing. Surrey Reflexology will contact you using phone, email, and text message in relation to appointments, bookings and reminders (this will be the primary purpose of communication); reflexology information or information related to your health (only if requested by you); special offers, promotions, and marketing (you can opt out from receiving these communications at any time).

Surrey Reflexology will NOT share your information with anyone else (other than within Surrey Reflexology’s own practice, or as required for legal purposes) without explaining why it is necessary and getting your explicit consent.

The information to be held is:

  • Your contact details

  • Lifestyle details

  • Medical history and other health-related information

  • Treatment details and related notes.

 Surrey Reflexology will only use this information for:

  • Giving reflexology treatments and keeping treatment records

    • Providing products and other professional services related to reflexology and your health and wellbeing

  • Offering any advice concerning aspects of your health and wellbeing

    • Seeking approval for treatment from your healthcare provider. This will only be done with your consent

    • Sharing of your medical records with other healthcare practitioners e.g. GPs, consultants, surgeons and/or medical insurance companies. You will always be informed first unless we are under a legal obligation to comply

 

Website enquiries

If you contact Surrey Reflexology via our website you will be asked to submit your basic contact details to enable us to contact you in relation to your enquiry, handle bookings and occasionally send you offers and information about related products and services that we think will be of interest to you. You can opt out from receiving these communications at any time.

How long does Surrey Reflexology keep my personal information?

Surrey Reflexology will keep your personal information and treatment records for the following periods:

  • Seven years after the last reflexology treatment or service (such as a workshop) for ‘claims occurring’ insurance purposes

  • Until a child is 25 (or 26 if they were 17 when treated) to adhere to the law regarding children’s records

 

How does Surrey Reflexology protect my personal information?

Surrey Reflexology is committed to ensuring that your personal data is secure. To prevent unauthorised access or disclosure, Surrey Reflexology has put in place appropriate technical, physical, and managerial procedures to safeguard and secure the information collected from you.

 

What are my rights?

GDPR gives you the following rights:

  • The right to be informed:
    To know how your information will be held and used (this notice).

  • The right of access:
    To see your therapist’s records of your personal information, so you know what is held about you and can verify it.

  • The right to rectification:
    To tell your therapist to make changes to your personal information if it is incorrect or incomplete.

  • The right to erasure (also called “the right to be forgotten”):
    For you to request your therapist to erase any information they hold about you

  • The right to restrict processing of personal data:.
    You have the right to request limits on how your therapist uses your personal information

  • The right to data portability:

       under certain circumstances you can request a copy of personal information held electronically so you can reuse it in           other systems.

  • The right to object:
    To be able to tell your therapist you don’t want them to use certain parts of your information, or only to use it for certain purposes.

  • Rights in relation to automated decision-making and profiling.

  • The right to lodge a complaint with the Information Commissioner’s Office:
    To be able to complain to the ICO if you feel your details are not correct, if they are not being used in a way that you have given permission for, or if they are being stored when they don’t have to be.

What are Surrey Reflexology’s rights?

If you do not agree to Surrey Reflexology keeping records of information about you, or if you do not allow Surrey Reflexology to use the information in the way required for treatments and services, Surrey Reflexology may not be able to treat you or offer a service.

Surrey Reflexology must keep your records for a certain period as described above, which may mean that even if you ask Surrey Reflexology to erase any details about you, Surrey Reflexology might have to keep these details until after that period of time has passed.

Surrey Reflexology can move client records between computers and IT systems without your permission if your details are protected from being seen by others.
